So you're hosting an event that requires projector hire in London. Fantastic! But do you know everything there is to know about renting a projector? How do you know what to look for, and how do you set it up optimally?
Fear not! We're about to give you five of the most useful tips to ensure that if you're thinking of renting a projector in London, you'll make the right choice and maximise the impact it has for your event.
So without further ado, let's get started!
Tip #1: Choose the Brightest Projector Your Budget Will Allow
You might not have given much thought to the brightness of a projector, but you should do. The brightness of a projector is one of the most significant factors that goes into its overall performance. For reference, brightness on a projector is measured in ANSI lumens, or lumens for short.
In terms of the lumens, the more, the better. Budget projectors usually have around 2,500 lumens, but you should be aiming for much more, especially if you're planning on showing high-quality video footage or you're projecting in a large, well-lit room or space. We would recommend 5,000 as a minimum requirement but go further if your budget allows. You will thank us later!
Tip #2: Pay Attention to the Resolution
When assessing devices offered by London projector hire companies, ask what resolution the projector is. They have come on leaps and bounds in recent years, and today you really need a Full HD 1080p (1920 x 1080) to do both your content and your audience justice.
You also need to pay attention to the aspect ratio here. HD content requires a 16:9 aspect ratio, as 4:3 is for lower resolution formats. Of course, your projector will do both. But it would be best if you matched your content source aspect ratio with that of your projector to avoid those ugly black bars on top of or on the sides of your content.
Tip #3: Use the One-Sixth Rule of Thumb for Screen Size
Of course, getting the screen size right is crucial. But the truth is that the size of screen you need is going to be dependent on the size of the room and audience. Fortunately, there's a handy rule that can help to work out what screen size you need.
Simply measure the distance between the proposed screen site to where the furthest audience member will be sat (or stood, you never know!). Your screen height should be one-sixth of that number. So a distance of 24m from the screen to the last audience member gives you a rough screen height of 4m.
Tip #4: Scout the Venue Beforehand
Unless you're hosting an event with a specific conference room, then you may have to pay a visit to your venue to ensure that your proposed London projector hire options are going to be feasible. Top of your list of concerns should be understanding restrictions around where the projector can (and cannot) be placed.
You need to consider a couple of factors here. Firstly, you need to make sure that the projector has plenty of ventilation, as projectors (specifically the bulb) can run incredibly hot and turn off unexpectedly if the maximum temperature is exceeded.
Next, you've got to consider the throw distance of the projector. It's no good having options for projector positioning that are too far away for the projector you're thinking of hiring. Basic projector models do come with a zoom lens which gives you some leeway. However, if you're hiring a large conference projector, then it'll come with interchangeable lenses which provide much greater flexibility.
Tip #5: The Projector is Just the Beginning – Don't Forget the Extras
The biggest mistake we see those renting a projector in London make is forgetting to source a crucial accessory. So don't forget to ensure you have everything you need for your event. Laptops, the correct cabling (should be HDMI), and the correct size screen are just a few of the absolute necessities.
But don't forget you're probably going to need to hire additional audio visual (AV) equipment to complete your technical ensemble. For presentations, conference meetings, and networking events, you're likely going to rent sound equipment including wireless mics and a couple of PA speakers. You may also want to invest in stage hire if you're inviting prominent speakers to deliver keynote speeches.
For more significant events, enlisting the help of an event lighting company to organise and supply you with spotlights and any other stage lighting fixtures you might need is a good idea. In other words, these days, unless you're hosting a tiny event, a projector/screen combo isn't going to be enough to impress.
Bonus Tip: Shortcut to Projector on Windows
No presenter wants to be stood on a stage in front of dozens of people fiddling with their laptop, trying to get their computer to recognise the projector and vice versa. Fortunately, there's a simple shortcut to connecting your computer to the projector. All you have to do is press Ctrl + Windows Key + P, and that's it! The projector settings window will pop up, and you can begin choosing how to display your laptop screen.
